
Next Steps & FAQs for Selected Fellows
Participant Check List:
Immediately upon acceptance
☐ Confirm with Kate your intention to participate and your ability to be present for the full convening by replying to your acceptance email. If you have an assistant you would like us to coordinate with on travel and logistics, please also provide their name, email, and WhatsApp.
Within One Week of Acceptance
☐ Complete your Rockefeller registration, which will arrive by email from Nadia at the Sfondrata Center upon acceptance. (Sfondrata is our building at the retreat center.) The registration can be completed by an assistant, though your passport details and signature on a release form will be required. You can leave the travel portion blank for now.
☐ Sign your participant agreement form from CAP Action, which will arrive via email from Kate/Dropbox Sign.
Your spot is not confirmed until the above two steps are complete; if not completed within a week of acceptance, we may offer your spot to someone else. If it will be impossible for you to complete on this timeline for any reason, please let Kate know immediately.
☐ Begin the proper steps to obtain your visa, if required. We can provide you with an official invitation letter, if needed. If a visa is required, please do not delay–visa processing can take up to 3 months in Italy.
By April 30, 2025
☐ Complete your brief onboarding form. The onboarding includes necessary materials such as your approved bio and headshot. (This may be completed by an assistant on your behalf).
☐ Provide all requested information to Rockefeller and/or Field staff to ensure your travel arrangements can be made in a timely manner.
By May 15, 2025
☐ Complete your Pre-Retreat Survey. The survey is intended to help us better shape the retreat program to your interests and goals.
Mid-July | In the weeks leading up to the retreat
☐ Be on the lookout for an email from Nadia at the Sfondrata Center. It will include important contact information and details about your transportation from Milan to the retreat site. Please let Kate know if you have not received this within 5 days of your scheduled arrival.
☐ Contact Kate right away if there are any concerns or questions related to your travel arrangements or the retreat itself.
What does it mean that Jacinda Ardern and Michelle Bachelet “fully participate” in the retreat?
Jacinda and honored guests, including the Hon Dr Michelle Bachelet, stay onsite at the retreat center with the fellows for the full retreat and are present at every meal and in every session–whether they are leading it or simply participating alongside everyone else. You will have the opportunity to engage directly with them throughout the retreat.
Who are the other fellows?
We will share the full list of participants and their bios, as well as the retreat agenda, a bit closer to the retreat date. Fellows in this cohort come from across the Americas, Spain, and Portugal.
Can I share that I have been accepted?
Please do not yet share anything publicly, though of course you can let your team and inner circles know. We will share more information about public announcements as we get closer to the retreat.
Do I need to prepare anything for the retreat?
No, but please complete our pre-retreat survey so we can better tailor the program to your interests and needs.
A few weeks before the retreat, we will also send around some optional reading/viewing materials that might help get you in the right mindset and better understand Jacinda and our honored guests.
What do I wear to the retreat?
The dress is casual – like you were going to have dinner at a friend’s house – and the weather will be hot. You may want to bring one dressier/business outfit for an offsite dinner. You will have an opportunity to swim if you’d like, so bring a bathing suit.
